Volunteer Registration Terms
Article 1 (Purpose)
These Terms set forth the necessary matters concerning volunteer activities at competitions, events, and other programs organized, co-organized, or supported by the Chofu City Fencing Association (hereinafter referred to as the "Association"), with the purpose of establishing a smooth and safe operational framework and building a structure for ongoing cooperation in such activities.
Article 2 (Registration)
- Any person wishing to participate in volunteer activities shall apply for registration as a volunteer member by the method prescribed by the Association.
- The Association shall determine whether to approve the registration after comprehensively reviewing the application details.
- If the Association does not approve the registration, it shall have no obligation to disclose the reason.
Article 3 (Provision of Activity Opportunities and Cooperation with Other Organizations)
- Registered volunteers shall engage in various programs hosted by the Association, including the "Tokyo International Fencing Tournament."
- The Association may introduce activity opportunities to registered volunteers based on cooperative relationships with neighboring municipalities, other sports organizations, or inter-regional partnership agreements.
- Participation in projects of other organizations based on the introduction described in the preceding paragraph shall be entirely at the individual's own free will.
Article 4 (Cancellation of Registration / Withdrawal)
- If a registered volunteer wishes to cancel their registration (withdraw) for personal reasons, they shall notify the Association secretariat by the prescribed method.
- When the Association accepts the notification described in the preceding paragraph, it shall promptly delete the relevant volunteer's registration.
Article 5 (Activity Conditions)
- The Association shall determine the work details, assigned location, and hours of duty for each individual case.
- Volunteers shall strictly observe the designated meeting and ending times and, in principle, participate in any advance meetings designated by the Association.
Article 6 (Compliance Requirements)
Volunteers must comply with the following:
- Follow the instructions of the Association and the persons responsible for tournament operations.
- Act cooperatively and not interfere with team operations or the smooth progress of the tournament.
- Not be absent or late without notice.
- Treat visitors, athletes, and related persons politely and with courtesy.
- Pay sufficient attention to safety and strive to prevent accidents.
Article 7 (Prohibited Acts)
Volunteers must not engage in the following acts:
- Independent actions contrary to instructions.
- Nuisance behavior, slander, or defamation toward other volunteers, athletes, or visitors.
- Discriminatory remarks or conduct, and any form of harassment.
- Any act that damages the credibility of the Association or the tournament.
- Unauthorized dissemination of information (including disclosure of internal materials, personal information, or non-public information).
- Religious activities, political activities, or solicitation and sales activities for profit.
Article 8 (Cancellation of Registration and Participation)
If a volunteer violates these Terms or if the Association determines that the volunteer may interfere with the operation of a tournament, event, or similar activity, the Association may delete the registration or cancel the volunteer's participation without prior notice.
Article 9 (Handling of Personal Information)
- The Association shall use acquired personal information only for the purposes of communication regarding volunteer activities, safety management, insurance enrollment, and management of activity records.
- When introducing activity opportunities to other organizations under Article 3, Paragraph 2, the Association shall not provide the registered volunteer's personal information to such organizations or other third parties without the individual's consent.
- If an external organization requests the provision of personal information, such information shall be provided only after obtaining the individual's consent and only to the minimum extent necessary.
Article 10 (Use of Photographs and Video)
The Association may use photographs and video footage of individual volunteers taken during the activity period free of charge for publicity purposes (including on its website, social media, printed materials, etc.).
Article 11 (Insurance and Allocation of Responsibility)
- For activities in projects hosted by the Association, the Association shall carry out the necessary procedures for enrollment in volunteer insurance and similar coverage.
- Except in cases of intentional misconduct or gross negligence by the Association, the Association shall not be liable for any damages arising during the activities.
Article 12 (Amendment of the Terms)
These Terms may be revised in response to changes in social conditions or the operational structure. The revised Terms shall take effect from the time they are announced by the method prescribed by the Association.
Supplementary Provisions
These Terms shall come into effect on April 1, 2026.
